An exciting role has become available for a highly organised and dedicated Department Coordinator to sit within our Asset Management Services team. 


As a Department Coordinator you will support a large team of Property Professionals to ensure seamless administration support to improve both the internal and external stakeholder experience.


Reporting directly to the Head of Department, this role is responsible for providing strategic administrative support to the Asset Management Team. It is essential that you have strong communication skills, both written and verbal, advanced Microsoft Office skills, excellent time management skills and the ability to be agile in your approach. This essential role will see no two days the same.


The Role:

  • Support the Head of Department with all administration, diary management and project coordination as required.
  • Prepare Financial Reports, including monthly, annual and forecast documentation.
  • Preparation of expenditure reconciliations for the Asset Management Department.
  • Complying with and streamlining processes and procedures to improve efficiency and productivity, including co-ordinating the implementation of new processes, training and software as required.
  • Onboarding for all new members of the Asset Management Department.
  • Process invoices for sundry fees and reimbursement.
  • Drafting, reviewing and preparing correspondence, presentations and other documentation.
  • Preparing submissions and responses to tender in conjunction with the Directors.
  • Coordinating team meetings including circulating invitations, preparing agendas, organising catering and taking minutes.
  • Organising conferences, including identifying venues, entertainment & travel arrangements.
  • Managing compliance with regards to Supplier database management and documentation.
  • Management of local IT/Systems matters (including database and access management) in conjunction with our IT and Business Solutions departments.


The Person:

  • A professional and customer focused manner.
  • Have at least 3 years' experience in a similar administration or PA role providing support to a large team.
  • Possess Advanced MS Office and InDesign skills.
  • Strong communications skills; both written and verbal.
  • Ability to build strong relationships.
  • Ability to work under minimum supervision.
  • Excellent time management and organisational skills.
  • Solutions and outcome focussed.
  • Proactive and able to demonstrate a strong use of initiative.
  • A current Real Estate Certificate of Registration or Licence (preferred but not essential).
