We are looking for an experienced and motivated Executive Assistant/Office Manager to join our Operations team based in Exhibition Street, Melbourne.


The purpose of this role is to provide a high level of operational and administrative support ensuring the smooth day to day running of the office and to provide support to the Head of Operations and Leadership team.  


Core responsibilities of this role include:

  • Manage an Office Coordinator
  • Provide support to the Leadership team
  • Preparation of correspondence
  • Preparation of training and other documentation
  • Travel coordinator
  • Support with IT set up
  • Assist with onboarding and offboarding of employees
  • Processing business expense claims
  • Meeting support - organising rooms and equipment, attendees, catering and taking minutes of meetings
  • Ensure the office facilities (kitchen, meeting rooms) are maintained to a high standard
  • Organise department functions
  • Maintain and reconcile attendance register
  • Greeting and attending to clients and visitors
  • Liaise with building management
  • Act as First Aid representative and Floor Fire Warden
  • Project and ad hoc assistance as required
  • Reconciliation of reimbursements, petty cash and credit cards


The successful candidate will have:

  • Previous experience in an Office Manager/EA role (Essential)
  • Strong written and verbal communication
  • Attention to detail
  • Strong organisation, time management and multi-tasking abilities
  • Advanced Microsoft Word (Essential)
  • First Aid Level 2 (Desirable)
  • Previous property industry experience (Desirable)
  • System savvy! (Highly desirable)
  • A great attitude and a sense of humour
